How Hubency automates collections and cuts late payments over 60 days by half

Hubency, a growing B2B business specialised in outsourced waste management, serves more than 4,000 client sites across France. Faced with a highly heterogeneous client portfolio managed manually via Excel and a Sage 100 ERP that is not suited to centralise collections, the company deployed My DSO Manager after benchmarking eight solutions and halved its receivables overdue by more than 60 days within a few months.

4,000+ client sites, varied client profiles: the accounts receivable challenge at Hubency

Hubency is an independent consulting firm and integrator specialised in outsourced waste management. The company serves more than 4,000 client sites across France. Its portfolio is characterised by a wide diversity of client profiles and legal structures, making accounts receivable management at scale particularly challenging.

No automation, no visibility: how manual processes were holding collections back

The diversity of client profiles and dunning methods made large-scale collections increasingly difficult to manage. The organisation was struggling with:

  • A wide variety of client types requiring customised follow-up scenarios
  • A long and sensitive invoicing process with a direct impact on DSO calculation
  • Manual processes using Excel and email, making bulk follow-ups nearly impossible
  • A Sage 100 ERP configuration not suited to centralised collections management
« There was no way to relaunch all the same type of clients at once - which was a real limitation. »
Vincent Bayle - CFO, Hubency

The solution: eight platforms benchmarked, automated dunning scenarios by client profile

Facing these challenges, Hubency launched a detailed software evaluation, benchmarking eight solutions before selecting My DSO Manager. The decision was driven by several practical and strategic advantages:

  • Adaptability: the platform allowed Hubency to replicate its existing client structure, with customizable classification and follow-up logic
  • Ease of use: rapid adoption across the team, including users with no prior experience of credit management software
  • Automation: from day one, the team implemented automated dunning scenarios adapted to client profiles, replacing individual emails with scalable actions
  • Onboarding support: the project manager's availability and product expertise were consistently highlighted

Dashboards and reporting features were also explored with the support team, with strong potential for use in risk review meetings and cross-departmental coordination with sales teams.

« It's one of the rare times where the project goes exactly as expected. The team behind My DSO Manager, they really know their tool, and they adapt it to your needs. »
Vincent Bayle - CFO, Hubency

Results: overdue receivables above 60 days cut in half

Despite some internal coordination required around Sage 100, the implementation ran smoothly throughout.

Teams quickly reported a significant reduction in manual workload, more structured dispute categorisation, and measurably improved data quality:

  • Every client is now covered by an appropriate follow-up process
  • A dedicated contact is assigned to each collections action
  • Collaboration between finance and sales teams has been strengthened
« We immediately saw the advantage: being able to relaunch everyone in one go. That alone changed our day-to-day work. »
Vincent Bayle - CFO, Hubency

Since the end of December 2024, Hubency has seen a significant reduction in receivables overdue by more than 60 days, dropping from €2.2 million to €1.2 million at the end of April. This progress reflects not only cash recovery on old receivables, but also better control over new receivables to prevent their accumulation: long delays are now anticipated and processed more quickly.

Roadmap: a digital transformation that continues

Hubency is continuing its digital transformation journey. The company plans to maintain My DSO Manager's integration with Sage and further connect it to Salesforce and external partners like Coface, Dun & Bradstreet, Creditsafe, etc.

« We're only using part of the platform today, but it's clear how much more it can offer. The foundation is strong - and it opens doors. »
Vincent Bayle - CFO, Hubency

There's also strong interest in expanding use of dashboards and client-facing tools such as the interactive portal, which allows for more seamless communication and resolution with customers.

« With My DSO Manager, what was promised was delivered. The team combines availability, deep product expertise, and real flexibility. »
Vincent Bayle - CFO, Hubency
