How to group the collection?

Translate this page to RomanianRomanian ?
You have multiple accounts for a single customer and you want to make a consolidated collection?
My DSO Manager allows you to group the collection of multiple customer accounts on one account, and avoid multiple sendings to the same contact responsible for these accounts.
The account selected to carry the collection becomes the Parent Account. The other accounts become Attached Accounts.

This operation can be done manually as indicated below or automatically via the import of customer data.

Good to know: Grouped collection does not merge customer accounts. Collection actions are centralized on the Parent Account, while items, history and data remain associated with their original accounts.

How to group multiple customer accounts?

To implement a grouped collection, three steps are necessary:

Step 1 Go to the tab SearchLink, section Search for a client, enter the criteria for selecting the accounts to be grouped.

Tips → You can use a simple copy / paste to quickly filter the list of clients to group, more info: Quickly select a list of clients or items using a copy-paste

Step 2 Once your selection is made, click on the Group collection button:

Group the collection

Step 3 Choose the account in which the collection will be made:

After validation:

  • The selected account becomes the Parent Account

  • The other accounts become Attached Accounts

  • Collection actions are centralized on the Parent Account

  • Items, history and data remain associated with their original accounts

Identify the Parent Account and Attached Accounts

The relationship between the different accounts in a grouped collection can now be identified visually in My DSO Manager.
The Parent Account is the account that carries the grouped collection. It is identified by a crown icon.
In the customer file, the number displayed with this icon indicates the number of accounts linked to the grouped collection. The list of attached accounts allows you to view the accounts concerned.

The Attached Account is an account whose collection is centralized on a Parent Account. It is identified by a link icon.

These visual indicators are available in particular:

  • In clients files :

  • Grouped customer file

  • In the Clients search :

  • Grouped customer file

  • In reports :

  • Grouped customer file

Good to know: An account that does not belong to any grouped collection does not display any Parent Account or Attached Account identification.

How does collection work after grouping?

Collection actions for the different accounts are centralized on the Parent Account.
The list of attached accounts is available from the account carrying the collection.

Attached Accounts in grouped collection

When the accounts are grouped:

  • A new leader invoice is generated and determines the corresponding scenario action

  • Specific actions, statuses and comments previously created on the items before grouping are kept

  • The original customer account code is added to the account statement

Grouped collection actions

Attached Accounts no longer have collection actions to be performed directly, as these are centralized on the Parent Account defined during the grouping.

Remove an account from a grouped collection

To remove an account from the grouped collection, click on Cancel in the relevant customer file.

After cancelling the attachment, the account's collection actions are no longer centralized on the Parent Account.

Display a consolidated account statement by customer account

Use the #Hashtag #items_list_collection_grouped_splitted in your collection emails and letters.
It allows you to display a consolidated account statement while grouping the items by customer account.

Search for accounts in grouped collection

To view all accounts whose collection has been grouped, go to the advanced search and select the Collection grouped criteria.
The new visual indicators also allow you to directly identify the Parent Account carrying the collection and the Attached Accounts in the search results.

Key takeaway : Grouped collection allows you to centralize the collection of multiple customer accounts around a Parent Account.
The crown icon identifies the account carrying the collection, while the link icon identifies the accounts attached to it. This information is visible in searches, reports and customer files.
Collection actions are centralized on the Parent Account while items, history and data remain associated with their original accounts.
