Why and how to qualify items (invoices, credit notes...)?

My DSO Manager allows you to carry out funnel-shaped reminder actions to encourage the customer to pay.

This is made possible thanks to:
  • the progressive actions of the reminder scenarios,
  • other types of actions (specific actions or out-of-scenario actions) allowing particular cases to be managed,
  • the history of actions performed and the associated statuses/comments. These make it possible to perform the next reminder according to the previous ones.
It is therefore necessary, after each customer feedback, to associate a status and a comment with the related invoices.

This qualification is carried out from the customer record in the account statement in three steps:

Step 1 Select a status and add a comment

Check the relevant items, then click on the « Change status » button.

Select the status and the date to associate with the selected items, then add a descriptive comment about the customer's feedback and assign the person in charge of resolution if necessary.

Step 2 Send an email


You can then send a confirmation email to your customer or to an internal stakeholder in your company: manager, sales representative, sales assistant, etc., automatically retrieving the information previously entered (status, comment, selected items).

Step 3 Next reminder


The final step is to decide what the next reminder will be:
  • either let the reminder scenario continue. My DSO Manager will suggest the next action to perform
  • or define a specific action to perform a more appropriate reminder and exclude the selected items from the reminder scenario (for example, a payment promise follow-up action as shown below)

Link qualification to a follow-up action

Qualifying an item is not limited to assigning a status: this information also serves as a trigger for actions in My DSO Manager.
Based on the applied status, it is possible to associate a specific action model (email, call, etc.) and a follow-up date to automate the scheduling of collection actions.
This logic is leveraged by MAIA Logo MAIA, the artificial intelligence of My DSO Manager, which plans and suggests the most relevant actions according to the situation of the items.

Monitor the qualification rate of your overdue items with the Item Status ReportLink. This is an important indicator of the quality of overdue receivables follow-up.
